# KeelOps > One tool for small and medium teams (roughly 5 to 30 people): task > management with kanban boards, project management, deals on a pipeline (a > minimal CRM), deadlines and a timesheet. Open source (AGPL-3.0) community > edition; the pro edition adds customer tickets that arrive from outside - > from an osTicket help desk, from a support form embedded in your own > application, or through a REST API - Google services and AI features. Made by Jugaad s.r.l. (Reggio Emilia, > Italy) for its own work, and used in production every day by the people who > wrote it. KeelOps is **not a CRM**: the CRM (companies, contacts, a deals pipeline with value, weighted value and monthly forecast) is one of the five natures of the same task, next to project tasks, administrative deadlines with real recurrences, customer tickets and personal boards. It is the dashboard of a team, built around the things that have to be done. ## Who it is for Small and medium teams - software houses, engineering firms, agencies, consultants - that sell a few complex things, deliver projects and have an administration to follow, and want task management, kanban, project management, a minimal CRM and external ticket intake in one tool instead of three. The decision is taken by the owner or the person who keeps the books, not by an IT department. ## Key facts - **Self-hosted by default**: it runs on your own server, and the data stays there. A cloud option is planned at a per-user price with every plugin included. - **Two editions, one code base and one database.** The **community edition** is free software under the **AGPL-3.0**: the core, the plugin SDK and three free plugins, released as source code and as a Docker image (ghcr.io/dariofinardi/keelops-community, with a docker-compose.yml that puts HTTPS in front). The **pro edition** adds tickets and the customer portal, the integrations (osTicket, embeddable form, API), the full timesheet, Google sign-in and Drive, the AI features and the pro plugins, in the cloud or with a licence for an on-premise install. Moving between them needs no data migration. - **Local AI** (Ollama): the community edition has the job queue and the connection to a local model, for plugins; the pro edition adds a vector index of the tasks, estimates, summaries and recaps written from real content. No text, document or logged hour leaves for an outside service unless you connect one on purpose. - **Plugins**: the core is free; the pro plugins add the work that costs real work. A plugin loads inside the application - same authentication, same permissions, same look. - **MCP connector**: plug in the assistant you already use (Claude, ChatGPT, Mistral) and it reads KeelOps with your identity and your permissions, read-only. The **pro** version opens attachments and Google Drive documents, extracts the content, and **pseudonymises it before sending**: names of customers, people, companies and products become stable placeholders. - **Six languages** in the interface, notifications and emails: Italian, English, French, German, Spanish, Portuguese. ## The six areas - **My day** - what is late, what is due, the shared queue to pick from, open deals and waiting tickets. - **Deadlines** - administrative work and recurrences as they really repeat: monthly, every two, three or six months, yearly; every fortnight or every N days; weekly or every two to four weeks on a chosen day; the last day of every month; the first Monday, third Thursday or last Friday of the month - with the rule written in plain words and a preview of the next five occurrences before you save, and full RRULE (RFC 5545) for the rare cases. Agenda, table or kanban view. - **Deals** - a kanban pipeline by stage, with value and weighted value, monthly forecast, reason for the loss. A minimal CRM: companies and contacts live in the directory. - **Projects** - members with roles, tasks and subtasks, prerequisite sequences, a list and a kanban by status with work-in-progress limits, progress, release notes written from the work closed in the period. - **Timesheet** - a month or week grid, hours on any task you can see, summaries by project and person, month closing; reminders, suggested hours, productivity and per-customer reports in the pro edition. - **Tickets and customer portal** (pro edition) - the customer opens the request from their own portal and sees only theirs; inside the company it is a project task like any other, with hours and a supervisor, carrying the reference of the original ticket. ## Plugins The core stays small; specialist work comes as plugins that load inside the application, with its sign-in, its permissions and its look. They keep their data in their own tables, go through the core's rules to create tasks or attachments, and an administrator can switch each one off from the System page without a restart. Free: personal boards, task map, MCP connector. Pro: MCP connector pro, Attendance, QuoteDOCX, QABox, Rapportini (included in the cloud plan). - **QuoteDOCX**: the deal document (quote, offer letter, specification) is written inside KeelOps from the company's own .docx template, in a page editor with Word-like menus: tables with merged cells and repeating header rows, footnotes, headers and footers, the template's named styles and fonts. Deal data fills the placeholders; versions are compared word by word; the result is a real .docx plus a PDF printed by the server, attached to the deal. Shapes and embedded objects pass through untouched; macros, tracked changes and equations are not handled. No external office suite or cloud. - **QABox**: quality control for manufacturers. Specifications with revisions, inspection plans per stage with sampling, measurements on batches or serial numbers with the instrument used, a verdict signed by the person in charge (released, rejected, under concession, rework). Non-conformities and corrective actions are KeelOps tasks and tickets in the sector's project; periodic checks are recurrences. Sectors come as data profiles (.qabox files): ISO 9001 base, cosmetics (ISO 22716), lighting (IEC 60598), food, mechanical, plastics, packaging, textiles, services. Per-sector roles: reader, operator, person in charge. It is not a production management system, not a document management system, and it does not by itself make a company compliant with a standard. - **Rapportini**: work and delivery reports filled in on the phone, on site. A report belongs to a project the person is a member of; its activities are the project's tasks (their own, supervised by them, or unassigned), one line per technician with hours by quarters; materials with serial or batch; the customer signs with a finger (a simple electronic signature). Photos, receipts and the signed PDF become attachments of the project task; the PDF is emailed to the customer's contact through KeelOps' mail. At 8 pm the hours reach each technician's timesheet, added to the hours typed by hand. Travel documents carry amount and category, with a monthly CSV for refunds. Not a tax transport document, not a qualified digital signature, not offline. ## Integrations (ticket intake and more; pro edition unless noted) - **osTicket plugin**, written by Jugaad: the interface lives inside osTicket, and from a user's ticket the agent creates, through the KeelOps API, a project task with title, description, priority, attachments and the "[osTicket #NNNN]" reference linked to the original ticket. In use at the help desks of PadForMusician and RadaeePDF. - **Injectable support component**: a JavaScript component that injects the request form into a third-party platform with one script tag; its users open technical or sales requests from a menu item or a button without a KeelOps account, receive a confirmation in their language, and the ticket lands on the right project with context metadata. In use at Edito-PDF.com. - **REST API with service accounts**: opens requests and administrative deadlines on behalf of a real person, with that person's permissions and name; lists the projects that person may open on; accepts attachments; direct link to the ticket form. - **Google Workspace**: SSO restricted to your domain, the Drive picker and preview, absences read from the company calendar. The personal iCal feed for Google Calendar, Outlook and Apple Calendar is in both editions. - **Imports** (both editions): Excel templates, iCal calendars, Google Contacts CSV. CSV export of tasks and deals. Moving data from ClickUp, Monday, Jira and other platforms is offered as a professional service, with custom plugins. - **AI assistants** (both editions): MCP connector for Claude, ChatGPT and Mistral (see above); tickets and statistics in the pro version. ## Links - [Home](https://keelops.it/): what it is, the areas, the integrations, the plugins, the AI (Italian) - [Home, English](https://keelops.it/en/): the same page in English - [Plugins](https://keelops.it/en/plugin/): every plugin, free and pro, and how a plugin behaves inside KeelOps - [QuoteDOCX](https://keelops.it/en/plugin/quotedocx/): the deal document from a Word template - [QABox](https://keelops.it/en/plugin/qabox/): quality inspections and non-conformities - [Rapportini](https://keelops.it/en/plugin/rapportini/): work and delivery reports from the phone, with the customer's signature, hours into the timesheet - [Plugin SDK](https://keelops.it/en/sdk/): build plugins that run inside KeelOps - pages in the application, tables of their own, reports and release notes written by the local AI models, tools for AI assistants - [SDK documentation](https://keelops.it/sdk/docs/): guides, examples, the rules and the complete API reference (English) - [Live demo, pro edition](https://demo.keelops.it): a separate installation with made-up data.
